Business process automation: take repeated manual work out of the day

Business process automation moves data and triggers actions between your systems without someone copying it by hand: an order becomes an invoice, a payment updates the ledger, a customer gets a WhatsApp update. WavX builds automations as custom code where the rules or volumes need it, and says so when a tool like Zapier or n8n will do the job for a monthly fee.

What gets automated

Most automation work in a small or mid-sized Indian business falls into a short list:

  • Order to invoice to accounts. A website or marketplace order creates a GST invoice and a voucher in Tally or your ERP, without anyone retyping it.
  • Payments to ledger. A gateway payment or a bank credit is matched to the right invoice and the customer's balance updates.
  • Customer updates. Order confirmed, dispatched, delivered, payment due: sent by WhatsApp, SMS or email when the status changes.
  • Lead routing. Website forms, B2B listing sites, ads and WhatsApp enquiries land in one CRM, are assigned, and the salesperson is reminded.
  • Stock and reorder. Stock below a level raises a purchase request and tells the buyer.
  • Approvals. Purchases, discounts and expenses go to the right person, with limits, reminders and a record.
  • Reports. The Monday-morning spreadsheet is built and sent automatically.

WavX builds business and workflow automation, custom APIs and third-party and legacy integrations as part of its custom software work. The business automation hub lists the related services.

Pick the right kind of automation first

This page exists to route you to the cheapest approach that will hold up.

Approach Cost shape (as of October 2026) Fits Breaks down when
Zapier Free for 100 tasks a month; Professional from $19.99 a month billed annually for 750 tasks. Each successful action step counts as a task A few simple steps between popular cloud apps Volumes grow, since every step of every run counts; or a system has no connector
n8n Cloud Starter €20 a month billed annually for 2,500 executions; an execution is one run of the whole workflow. Free Community Edition to self-host More steps per run, a team that can host and maintain it Complex business rules end up as fragile chains of nodes nobody else understands
Custom code Build cost, then hosting and maintenance Complex rules, high volume, systems without connectors, money-critical flows The process is still changing every month
AI-assisted automation Higher build cost; model usage per run A step needs judgement on messy input: emails, PDFs, free-text messages The task is really a fixed rule, where AI only adds cost and error

Read the Zapier vs n8n vs custom comparison if you are deciding between the first three. If a step needs reading or judgement, go to AI workflow automation.

Choose a no-code tool when the automation is three or four steps between apps with good connectors and the volume is modest. WavX will say so on a scoping call. Choose custom when:

  • The rules are long. GST treatment by state, price lists by customer group, partial dispatches, credit limits.
  • A system has no connector. Tally on an office computer, a supplier's FTP folder, an old in-house database.
  • Volumes are high. Per-task pricing that is trivial at a hundred orders a month is not trivial at twenty thousand.
  • Failure costs money. Payment reconciliation and stock sync need retries, idempotency (processing the same event twice must not double-count) and alerts.

Automated WhatsApp messages

WhatsApp is the channel Indian customers answer, so most customer-facing automation ends there. The rules come from Meta, and they shape the design. As of October 2026, according to Meta's developer documentation:

  • Meta has charged per message, not per conversation, since 1 July 2025.
  • Messages the business starts must use approved templates, in marketing, utility or authentication categories, and charges apply when a template message is delivered.
  • When a customer messages you, a 24-hour customer service window opens. Inside it, free-form replies are free, and utility templates are also free.
  • Free-form messages cannot be sent outside that window.

So an order update is a utility template; a festive offer is a marketing template at a different price; a reply to a customer's question within a day is free. The automation decides which to send and tracks whether the window is open. The guide to sending automated WhatsApp messages covers setup, and the WhatsApp Business API integration page the technical side.

Modules in a typical build

Module What it does Notes
Triggers Webhooks, scheduled checks, or file drops that start a run Webhooks verified before use
Connectors Read from and write to each system: store, gateway, Tally, CRM, WhatsApp One per system; the main variable in cost
Rules engine The business logic: mapping, calculations, routing, limits Rules kept in settings where they change often
Queue and retries Holds work, retries temporary failures, never processes an event twice The difference between a demo and a dependable system
Run log Every run, its input, output and result Searchable by order or invoice number
Alerts Tells a named person when something needs a human Email, WhatsApp or Slack
Approval steps Pauses a run for a person to approve Where full automation is not wise
Settings screen Lets your team change mappings, templates and thresholds Avoids a developer for every small change

What it costs: a planning range

Worked from the models behind the software cost estimator and the AI cost calculator. These are planning ranges for budgeting, not quotes.

Scope How the model builds it Subtotal Planning range
Integration service: syncs two or three systems, with alerts and a run log Internal tool base ₹2,00,000 + third-party integrations ₹60,000 + real-time and notifications ₹70,000 ₹3,30,000 ₹2,80,500 to ₹4,12,500
Workflow system with approvals, dashboard and reports Internal tool base ₹2,00,000 + auth and roles ₹60,000 + third-party integrations ₹60,000 + real-time and notifications ₹70,000 + analytics dashboard ₹80,000 + exports and reporting ₹50,000 ₹5,20,000 ₹4,42,000 to ₹6,50,000
AI automation that reads input and takes actions in live systems (AI agent/automation base ₹5,00,000 + takes actions ₹1,10,000) × 1.5 for live systems ₹9,15,000 ₹7,77,750 to ₹11,43,750

Assumptions: standard design, small scale. The spread runs 15% below to 25% above the subtotal. Each additional system with an awkward interface moves a real quote up.

To see whether the build pays back, the automation ROI calculator compares the hours a process takes today with the build and running cost.

Timeline

The cost model gives 6 to 10 weeks for subtotals between ₹3,00,000 and ₹6,00,000, and 10 to 16 weeks above. A single integration can often go live in stages within the first band.

  1. Map the process (week 1). Every step, every exception, every system, with sample data. Exceptions are where automations fail.
  2. Build one flow end to end. For example, order to invoice. Run it in parallel with the manual process and compare every record.
  3. Add the rest flow by flow. Each one switched on only after it matches the manual result.
  4. Hand over. Run log, alerts and settings screen explained to the person who will own it.

The small business automation guide suggests what to automate first; if you still work on paper, start with digitising a paper-based business.

When not to automate

  • The process is not settled. Automating a process that changes every month means paying to rebuild it every month.
  • It happens rarely. A task done twice a month by one person rarely repays a build.
  • The data at the source is wrong. Automation moves bad data faster. Fix the source first.

Frequently asked questions

Should we use Zapier, n8n or custom code?

Use Zapier or n8n when the steps are simple, both systems have ready connectors, and volumes are modest. Use custom code when the rules are complex, volumes would make per-task pricing expensive, a system has no connector (Tally on an office computer, a legacy database), or the automation must be reliable enough that a silent failure would cost money.

How much does a custom automation cost?

From the WavX cost model, an integration service that syncs two or three systems with alerts works out to a planning range of about ₹2.8 lakh to ₹4.1 lakh. A workflow system with approvals and a dashboard is about ₹4.4 lakh to ₹6.5 lakh. These are planning ranges, not quotes. For a sense of the return, the automation ROI calculator compares hours saved with the build cost.

Can you send automated WhatsApp messages to customers?

Yes, through the WhatsApp Business Platform. Messages a business starts must use templates approved by Meta, and as of October 2026 Meta charges per delivered template message by category. Free-form replies are free but can only be sent within 24 hours of the customer's last message. We build the automation around those rules.

Is this the same as AI automation?

No. Most automation is rules: if this happens, do that. AI is useful when a step needs judgement on unstructured input, such as reading an emailed purchase order or sorting support messages. Our AI workflow automation page covers those cases.

What happens when an automation fails?

It should fail loudly. Every automation we build logs each run, retries temporary errors, and alerts a named person when something needs a human. A silent failure is how orders go missing for a week.
